Reports & alerts

Getting the results to the people who need them — without anyone having to remember to log in.

Reports

Every completed scan produces one PDF. The Reports tab keeps the full scan history — status, findings count, savings per month, spend per month — with three actions on each row, plus a savings-over-time chart once you have at least two scans.

  • PDF — downloads the report through a link valid for 60 seconds.
  • CSV — the findings of that scan as a spreadsheet.
  • Share — copies a link valid for 7 days that works without a TenantThrift login.

None of these three is role-restricted: any member, Readers included, can download a report or create a 7-day external share link. Treat that link as the document itself — anyone holding it can open it.

Notification channels

Under Settings → Notifications on a tenant (Editor or Admin) you add destinations. Four kinds are supported:

  • Email — any address, they do not need an account.
  • Slack — an incoming webhook URL.
  • Microsoft Teams (Workflows) — the current Power Automate route.
  • Microsoft Teams (connector) — the older Office 365 connector.

Each destination is configured independently:

  • Report cadence — off, every scan, weekly or monthly.
  • New waste — on or off.
  • Cost spike — on or off.

So finance can get a monthly PDF while the platform team gets a Slack message on every spike, from the same connection.

Webhook URLs are write-only. Once saved, a chat webhook is never shown again, never sent back to your browser, and is redacted even from your own data export. Leaving the field blank when you save keeps the stored value — you only need to paste it again if you want to change it.

The two alerts

Both are configured under Settings → Alerts and delivered to the channels you opted in above.

New waste

Fires when a scan finds newly appeared waste above a monthly threshold you set — for example "tell me when more than €50/month of new waste shows up". Leave the field empty to switch it off.

This is the alert that makes the product run itself. After the initial cleanup, the interesting question is not "how much waste exists" but "what appeared this week".

Cost spike

Fires when spend rises more than a chosen percentage above its own recent baseline — set 0 to switch it off. Unlike a budget, it needs no target figure: it compares you against yourself, so it catches a runaway resource in an otherwise unremarkable month.

An open spike shows as a banner on the tenant overview with the change, current versus baseline spend, and the biggest mover, plus a link straight into the cost view. Editors and Admins can Dismiss it once handled.

White-label reports

On the MSP plan, Admins can set a company name, an accent colour and a logo under Settings → Organization. Reports then carry your branding instead of ours — the point being that you can hand the PDF to your own client unchanged. Logos are PNG or JPEG up to 512 KB.
